Operations Coordinator

Core Purpose:

The Operations Coordinator owns the execution of critical administrative and operational workflows that support Sales, RevOps, and Client Delivery. This role removes friction from leadership and delivery teams by ensuring revenue-related processes, assets, systems, and internal updates are completed accurately, on time, and consistently.

This role exists to protect focus for leadership and delivery teams by owning the “grind” that keeps the business running smoothly.

Works Closely With: RevOps, Sales, Marketing, Client Services & Technical Solutions
Employment Type: Full-Time
Salary Range: $50,000-$65,000

 

Key Accountabilities

RevOps Solution Implementation

Own the operational tasks that support revenue flow from sale → onboarding → delivery.

  • Prepare and maintain sales proposals, scopes, and supporting materials

  • Build and send client welcome decks and onboarding emails

  • Support W9 requests, ACH coordination, and AR follow-ups

  • Assist with billing utilization reporting and project budget monitoring

  • Set up initial projects in ClickUp and related tools

  • Populate and maintain Client Overview records

  • Input and track project start dates based on resourcing

Systems, Access & Tool Coordination

Ensure people, portals, and systems are set up correctly and consistently

  • Manage HubSpot access (new clients, handovers, internal users)

  • Schedule and coordinate portal audits; confirm access

  • Support new hire tool setup (HubSpot, ClickUp, Google Drive, etc.)

  • Create and maintain Google Drive folder structures

  • Build and maintain ClickUp views (budgets, timelines, client views)

  • Populate HubSpot project tickets (moving toward ClickUp–HubSpot automation)

Internal Execution & EOS Support

Keep internal execution moving and documented.

  • Input Company, Team, and Individual Rocks into systems

  • Input and track action items from EOS meetings

  • Prepare documents for monthly 1:1s and department meetings

  • Monitor overdue and upcoming tasks across teams

  • Maintain internal reports and dashboards (basic updates)

Enablement & Asset Coordination

Support GTM and Client Services with organized, on-brand materials.

  • Prepare kickoff decks and client-facing enablement assets

  • Manage Marketing & Sales enablement asset inventory

  • Ensure brand guideline adherence (templates, colors, fonts)

  • Support AdoptionHub setup and new client configuration

  • Assist with explainer cards, decks, and internal documentation

Automation & Continuous Improvement Support

Execute and support process improvements (without owning strategy).
  • Implement ClickUp automations as scoped by leadership

  • Support standardized workflows for projects, onboarding, and reporting

  • Identify repetitive tasks that could be handled via AI or automation

  • Maintain clean, repeatable operational documentation

  • Accuracy of client setups, access, and documentation
